Operations & Office Manager / Program Coordinator

 

Be the Operational Backbone of a High-Standard Outdoor & Leadership Organization

Location: Boulder, CO (In-Office)
Position Type: Full-Time
Compensation: $55,000–$65,000 salary (DOE)

Colorado Wilderness is seeking an Operations & Office Manager / Program Coordinator to serve as the organizational hub of our guiding, leadership, corporate, and destination management programming.

This role is ideal for someone who thrives on structure, communication, follow-through, and calm problem-solving—and who takes pride in making complex operations run smoothly behind the scenes.

You will work closely with ownership, guides, facilitators, vendors, land managers, transportation partners, and clients to ensure programs are professionally executed, clearly communicated, compliant, and operationally sound.

Why This Role Matters This is not a clerical or passive administrative position. In this role, you are: - The connective tissue between sales, guides, facilitators, clients, and logistics - The keeper of timelines, details, permits, systems, and expectations - The person who notices gaps, risks, or breakdowns before they become problems - A trusted operational partner to leadership When this role is done well, everyone else does their job better—guides are prepared, clients are confident, programs run smoothly, and leadership can focus on strategy, growth, and quality. Core Responsibilities: Operations & Program Coordination - Coordinate logistics for outdoor trips, leadership programs, corporate events, VIP experiences, and DMC services - Manage schedules, staffing assignments, vehicles, gear needs, and program timelines - Support guide and facilitator onboarding, training documentation, and seasonal readiness - Track permits, insurance requirements, land manager compliance, and operational approvals - Prepare program packets, run-of-show documents, internal briefs, and field-facing materials Office, Staff & Client Communication - Serve as a primary point of contact for client inquiries, confirmations, and logistics questions - Manage incoming calls, emails, forms, and follow-ups with professionalism and clarity - Support booking workflows and expectation-setting with clients and partners - Communicate clearly with guides, facilitators, transportation staff, and vendors before and after programs - Help resolve issues calmly and professionally when plans change Systems, Organization & Follow-Through - Maintain and improve internal systems (documents, calendars, CRM records, shared files) - Track action items, deadlines, deliverables, and follow-ups across programs and seasons - Identify workflow gaps, inefficiencies, or risk points and suggest improvements - Keep leadership informed with accurate, timely updates and operational insight - Help create structure where it doesn’t yet exist Who This Role Is For You may be a strong fit if you: - Are highly organized and detail-oriented - Communicate clearly and professionally (written and verbal) - Stay calm under pressure and handle ambiguity well - Take ownership and follow things through to completion - Enjoy supporting teams and making systems work - Can juggle multiple priorities without dropping details - Experience in operations, program coordination, hospitality, events, education, logistics, or outdoor programming is highly relevant. Outdoor industry experience is helpful but not required—judgment, reliability, and professionalism matter most. Guides and instructors lead, teach, and facilitate outdoor adventures and educational programs for guests ranging from first-time participants to highly experienced clients.
Primary seasons: Winter (Dec–Mar 15) and Summer (May 1–Oct 15).
Opportunities exist for single-discipline specialists and multi-sport guides, with repeat-season and expanded responsibility potential.

Facilitators & Leadership Staff (Seasonal / Part-Time)

Pay: $17.00–$27.50 per hour (Depending on Experience)
Additional compensation: Service fees (program dependent)
Facilitators design and lead experiential programs focused on leadership, communication, trust, and team dynamics. These roles offer year-round potential based on program demand.

Operations, Logistics & Support Roles (Seasonal / Project-Based)

Pay: $17.00–$27.50 per hour (Depending on Experience)

Additional compensation: Service fees and gratuities (role dependent)
Behind-the-scenes roles supporting program coordination, gear and vehicle logistics, transportation support, and event operations.

Rentals Coordinator – Gear & Equipment Management (Seasonal / Part-Time)

Pay: $17.00–$27.50 per hour (Depending on Experience)
Supports rental and gear operations, including inventory, prep, check-outs/returns, maintenance tracking, and seasonal transitions.

Director of Fun – Culture, Community & Mentorship (Part-Time / Project-Based)

Pay: $17.00–$27.50 per hour (Depending on Experience)
Supports internal culture, Boulder-area community engagement, and development of the Community Outdoor Mentorship Program.

Winter Transportation & Sundance VIP Roles (Seasonal)

Pay: $17.00–$27.50 per hour (Depending on Experience)

Additional compensation: Service fees and gratuities
Supports high-touch winter transportation, DMC services, and VIP experiences, including Sundance-related operations.
Primary season: December – March 15, 2027

Team members may have access to company-supported or reduced-cost training, depending on role, performance, and season. Opportunities may include:

  • Whitewater rafting guide training & trip leadership

  • Fly fishing instruction & guide mentorship

  • Mountaineering, climbing, and technical progression

  • Avalanche education (AIARE)

  • Wilderness medicine (WFR / WFA refreshers)

Training is not guaranteed, but is regularly offered to team members who demonstrate commitment and professionalism.
